This Privacy Policy describes how Kairvio ("we", "us", "our") collects, uses, and protects your personal information when you interact with us, including when you book a reservation or appointment, receive SMS messages, or otherwise communicate with us. Kairvio is the data controller and sender of record for all communications you receive that identify Kairvio.

1. Information We Collect

We collect information you provide directly to us, including:

• Name, phone number, and email address
• Reservation or appointment details (date, time, event type, guest count)
• Payment information (processed through Stripe; we do not store full card numbers)
• Communication content (SMS replies, emails, voicemails)

• Confirm and manage your reservations or appointments
• Send transactional SMS, email, and voice messages related to your booking
• Respond to your inquiries
• Process payments
• Comply with legal obligations

3. SMS and Text Messaging

Consent

When you provide your phone number to Kairvio and check the optional SMS opt-in checkbox during the booking process, you consent to receive SMS messages from Kairvio related to your booking — including confirmations, reminders, access codes (where applicable), invoices, and quotes.

When you call or text our demo line at (317) 751-4378, you start a conversation with Kairvio, and we reply by text with a short demo of our product. The first text identifies Kairvio and explains how to opt out. We keep texting only while you keep replying.

Sender Identification

Every text conversation from us starts by identifying Kairvio, so you always know who is contacting you. Kairvio is the registered sender of record on file with The Campaign Registry (TCR) and your mobile carrier under the A2P 10DLC program. SMS consent obtained by Kairvio does not transfer to any other business.

Opt-Out

You can opt out of SMS communications at any time by replying STOP to any message we send. After you opt out, you will not receive further SMS from us unless you opt back in by replying START.

Message Frequency

Message frequency varies. A demo is usually 5 to 10 messages, sent only while you keep replying; if you go quiet afterward we send at most one follow-up the next business day, then nothing further. Booking messages are sent only when relevant to your booking.

Message and Data Rates

Standard message and data rates may apply depending on your mobile carrier and plan.

Carriers

Mobile carriers (including AT&T, T-Mobile, Verizon, and others) are not liable for delayed or undelivered messages.

No Marketing or Third-Party Sharing

Your phone number and SMS opt-in consent are used solely to send communications from Kairvio related to the services you have requested. We do not sell, rent, lease, or share your phone number, SMS opt-in consent, or text message content with third parties, affiliates, or other businesses for marketing, promotional, or any other purposes.

4. How We Share Information

We do not sell your personal information. We share information only with:

• Service providers who help us operate, including: Twilio (SMS and voice carriage), Stripe (payment processing), Kairvio (platform technology), Resend (transactional email delivery), and Supabase (database hosting). Each is contractually obligated to handle your data only as needed to provide their service to us.
• Legal authorities when required by law, court order, or to protect rights and safety.

None of the above sharing includes text messaging originator opt-in data or consent. We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.

5. Data Retention

We retain your personal information for as long as needed to provide our services to you, manage your bookings, comply with legal and tax obligations, and resolve disputes. Communication records (SMS, email, voicemails) are retained according to standard business records retention practices.

• Request access to the personal information we hold about you
• Request correction or deletion of your information
• Opt out of SMS communications at any time by replying STOP
• Withdraw your consent for SMS communications without affecting your ability to use our services

Our services are not directed to individuals under 18, and we do not knowingly collect personal information from minors. If you believe we have collected information from a minor, please contact us so we can delete it.

We may update this policy from time to time. The "Last updated" date at the top will reflect the most recent revision. Material changes affecting how we use your SMS or contact information will be communicated to active customers before taking effect.
